STATEMENT OF PURPOSE: (Job Summary)

Responsible for answering incoming calls, directing calls to appropriate associates, greeting and directing visitors, mail distribution, customer walk-in order management and general administrative support.

 

SKILLS/QUALIFICATIONS:

  • High School diploma or GED.  Minimum Associate’s degree preferred.
  • One year of receptionist and/or administrative experience
  • Telephone skills; strong oral and written communication skills
  • Working knowledge of MS Word, Excel and Outlook.  Experience with AS400 operating system is desirable.

 

JOB DUTIES:

  • Answers telephone and routes callers to appropriate associate.
  • Greets and directs visitors to the company.
  • Provides callers with information about the company such as company address, location, website, orders, etc.
  • Assist customers with returns for Pink Pro Beauty (PPB) and ensures customer receive correct products.
  • Receive and place FS orders for company employees.
  • Check walk-in invoices in drawer with product on shelf weekly.
  • Coordinate with Customer Service and Accounts Receivable to “Return to Stock” Employee orders exceeding 2 weeks.
  • Communicate with Sales Reps, Customer orders that are two weeks old (not picked up).
  • Receives, sorts, and distributes postal and interoffice mail.
  • Coordinates the pick-up and delivery of express mail services and assists vendors such as water delivery, vending machine reps, etc.
  • Takes payments for walk-in customer orders via cash, check and credit card transactions, and balances cash drawer.
  • Invoice all service tickets.
  • Invoice all FS/PPB orders for customer pick-up
  • May make bank deposits and perform other routine local errands as needed.
  • Assigns and tracks company vehicle maintenance logs/keys.
  • Operation of Endicia – printing labels for sales representatives and ensuring packages go out to customers on a daily basis.
  • Assists with various departmental tasks such as cutting out digital images, collating and assembling brochures, cutting tickets, posts cards, etc.
  • Assists with hospitality needs including conference room set-up, employee appreciation events, catering assistance and ensure conference room is stocked with refreshments for guests.
  • Responsible for front lobby product displays and rotating items per season.
  • Maintains tidiness of front lobby, clean front lobby doors, dusting lobby and conference room, wiping down tables/countertops in break room daily. Load and unload dishwasher daily.

 

WORK ENVIRONMENT:

This job operates in a professional office environment.  This role routinely uses standard office equipment such as computers, phones, photocopiers, and fax machines.

 

PHYSICAL DEMANDS: 

Visual acuity, speech, hearing, and hand and eye coordination required.  Subject to long periods of sitting.  Must be able to lift up to 25 lbs., bend, stoop, kneel, crawl, twist, and reach.
